2023/24 Coles GCR Track and Field Carnival Information

Hey GCR Registered Athletes,

We are finally here for the 2023/24 Coles GCR Track and Field Carnival.

Duty Roster – UPDATED!!

When registering, it is a requirement to agree to fulfill Parent Duty. With numerous athletes participating, the allocation of duties is extensive, and all families must fulfill their assigned responsibilities. We have made efforts to distribute duties evenly. Please ensure that you do not let down the center and, more importantly, our athletes.

Failure to attend to your duty will result in your child being scratched for all subsequent events on the weekend. Moreover, you risk jeopardizing your standing for future Region/State events, upcoming Cranbourne functions, and Cranbourne season awards.

Parents on duty are obligated to wear closed-toe footwear for safety purposes. It is important to note that while on duty inside the track, the use of mobile phones, taking photos, or cheering for athletes is strictly prohibited, as this may jeopardize the athletes and result in disqualification from the event.

All duties must be carried out by individuals who are 18 years or older.

Please note: if your name doesn’t appear on the duty list above, you still may be required for a parent duty!
Keep in mind that EVERY individual you encounter at the event is a volunteer, generously contributing their time to ensure the smooth operation of the event. Many have dedicated hours, days, or even weeks to make this event possible, all voluntarily.

Where to go?

This weekend’s event takes place at Edwin Flack Reserve in Berwick! Upon arrival, both athletes and parents must check in at the marquee. Athletes are also required to check out when leaving the venue.

Our setup, featuring Cranbourne Marquees, will be positioned around the 150m mark of the track. Athletes need to arrive 45 minutes before their scheduled event.

Our marquees will be available for everyone just inside the gate. Feel free to bring your own seating, such as deck chairs, rugs, etc.

Getting to your Events

Track Events:
Athletes will be required to be at the call room AT LEAST 20 minutes before the event start time.
Field Events:
Athletes will be required to be at the event site AT LEAST 10 minutes before the event start time.

Athletes/Parents will be required to take themselves to the event/call room – our team managers will be there to assist you to make sure they are heading in the right direction. Please make sure you are near the Cranbourne Marquees to ensure you know where to go.

Uniform

All athletes must be wearing the complete Cranbourne uniform. Failure to comply with this requirement will result in your child being ineligible to participate—this adheres to both LAVIC rules and the conditions of entry.

Our Uniform Consists of:

  • Royal Blue Shorts with NO Pockets, Patterns, or Non-approved logos (e.g., Nike, Adidas, etc…)
  • Cranbourne Competition Top
  • Coles patch SEWN on, above the LAVic logo on the athlete’s shirt.
  • 2023/24 Commonwealth Bank name patch.

Qualifying for the 2023/24 State Championships

The 2023/24 State Track and Field Championships will be held at none other than Casey Fields, on Saturday 9th, and Sunday 10th March 2024.

The first-placed athlete per Region per event will automatically qualify for the State Track & Field Championships. The rest of the field will be made up of the next best performances from across all Regions to complete the field of 24 athletes (16 athletes only in 800m events).

There are eligibility standards for High Jump and Walk events, that must be achieved to qualify, regardless of placing first at Region.

Athletes must have competed in and finished in the overall top 10 placing in the relevant event at the Region Track and Field Carnival, except for High Jump and Race Walks.

Walks and High Jump Progression Rules

Multi-class athletes will be progressed based on their converted performance at the Region Track & Field Carnival, up to the maximum field size for each event. If there are insufficient entries, or if places and performances are equal, only clear progressions will be advanced, i.e., a field may be less than the allowed maximum field size

For example
All events other than 800m, Walk and High Jump.
24 Athletes will go through to state
7 of these will be the automatic qualifier, the winner from each region
The remaining 17 athletes will be the next best times from all the region carnivals

800m
16 Athletes will go through to state
7 of these will be the automatic qualifier, the winner from each region
The remaining 9 athletes will be the next best times from all the region carnivals

Medal Presentations

Medals will be awarded to athletes who secure a position in the TOP 3 overall. Regional carnivals do not distribute place ribbons. In track events featuring more than one timed final, the medals will be given to the three athletes with the fastest overall times, rather than the winners of each timed final.

Event Clashes

Referees and our center team manager will manage conflicts arising between track and field events, and there is no requirement for parental intervention in these matters. Track events will be prioritized over field events, and we won’t delay events for athletes at the Presentation area. Medals will remain available, ensuring athletes can collect them after their respective events.

Please Note: As this event is run by the Gippsland Country Region – personal bests will not count. Parent points will also not be included for appointed parent duties, this is an entry requirement.
