The Annual General meeting (AGM) is an important event for our club. It gives members and the committee a broad overview of the organization’s current directions, financial health and confirms our purpose. It is also a great time to revitalize through the official engagement of members, new and current into key elected positions
The traditional format of AGM’s often involves a number of members meeting in a physical location and voting on a show of hands. This location was our club room’s, however, our clubrooms are being utilized at present and a capacity limit in place.
To that end, we have decided to hold a hybrid AGM and Presentation to be held at 10:00am, 1st of May 2021 over Zoom. The hybrid part is that we will be broadcasting from the clubrooms and presenting the major trophies throughout the AGM.
All other awards will be presented after the AGM, by age group out on the track as we have done previously. Athletes will be advised of when their presentations times are and will be invited to arrive with their fellow team mates to be presented their trophies and awards in persons. We will have a jumping castle for those waiting for their trophies and/or medals.
This therefore allows all members to attend and participate in this meeting from their homes and or at the track where required. The business to be transacted at a virtual meeting will be the same business that is transacted at a traditional AGM just in a virtual format.

Essentially, standard AGM rules however still apply. If the requisite number of members fail to attend a meeting, there will be no quorum so no business can be transacted.
The AGM can still be a positive experience for all of us we all go away firmly committed to the club and our goals.
Cranbourne Little Athletics Centre
The last athletics event of 2021 is the Commonwealth Bank State Relay Championships at Casey Fields.
As we are hosting at Casey Fields we need as much help as we can possibly get to assist on the day. We will be running the BBQ on the day, which will also operate as a “mini canteen”. We are offering DOUBLE points to all parents that sign up! A great way to top up your parent points.
On top of the BBQ there is a small Duty Rosters for some familys.

CROSS COUNTRY SEASON
Cross Country season will be happening again throughout the winter! We are awaiting the season announcement from GCR and we will pass the details on as soon as we get them.

Congratulations again to all our athletes who have made it through to State Track and Field. It is an amazing achievement because now you are in the top 24 in the State!!
A few reminders and information for the upcoming State event this weekend.
-It’s about 40mins to 1 hr drive to Lake side Oval. Parking on the street is free, in the carpark its a small fee.
-Please arrive 1 hr before your event. There are time frames to arrive at your event and if you are not there you will be disqualified.
-See Paul or Myself (Mark) so we know you have arrived. We will be situated on the back straight at the same spot as Combined.
–Full uniform must be worn
*Royal Blue Shorts/boy pants with no pockets and no logos.
-Field events can take some time as there are 24 competitors so bring a water bottle and some warm clothes while you wait.
-Please see Parent Duty Roster. It is really important that you fulfill your duty as the event can not go on without your help. Remember at Cranbourne we are here for all our children.
State can be very intimidating for everyone so lets make sure we stick together and support each other throughout the weekend and most of all enjoy ourselves.

GCR TRACK AND FIELD CARNIVAL UPDATE
As you may have all seen, the GCR Track and Field Carnival will now take place NEXT weekend, Saturday Feb 27th – Sunday Feb 28th. The program and the Parent Duty roster will remain the same! We will re-post again throughout this week to remind everyone.
With Region being pushed back to next week our twilight program for next Friday night will now be POSTPONED, meaning there will be NO COMPETITION at Casey Fields on Friday 26th February. We are currently looking at holding this Twilight at a later date in the year! Stay tuned for this to be announced!
Region Relays will no longer be happening with all teams now progressing straight through to state! More on relays will be relayed to all entrants at this Sunday’s training session at Casey Fields.
WEEK 13 UPDATE
This week is STILL going ahead as normal! We do ask that EVERYONE over the age of 12 years old is carrying a mask on them, that must be worn when you cannot socially distance
Early Starts were posted onto social media this morning
U14-16 Boys and Girls 1500m, U12B Long Jump & U10B High Jump will all start at 8am. Please be there ready to go at 7.55am!
On Monday we also posted new STRICT rules in regards to entering the arena. This will be enforced this week – if you are not wearing a vest or not asked by a committee member to assist you MUST NOT cross over the fence. You are more than welcome to follow your child around outside of the track fence line – all events are viewable from the fence.
Ross and his team will again be up on the mezzanine with our medal engraver! So if you have any medals lying around that need engraving please take in up to see Ross and his team!

We still require a lot of parent helpers this week! Remember you need to hit 30 parent points for your child/ren to be eligible for an end of season award. Point update will be available by the mezzanine on Saturday.

Just a few reminders for the weekend.
This Weekend is at Edwin Flack Reserve on Manuka Rd, Berwick (behind Football Ground)
Please arrive 1hr before your event or at least 15mins before your Duty so we know you are here.
For the Junior Carnival please arrive before 10am for marshaling etc.
We will have a Marque’s set up for everyone to use just inside the gate. Bring your own seating as there is not a lot at this venue.

You will need to check-in at the gate on arrival.
This event is over 2 days but is jammed packed so please have your child around the Cranbourne Marques 30 mins before they are due to marshal. Paul and Myself(Mark) will make sure they get to their event.
We have a lot of athletes entered so that means a lot of duties. It is imperative that we all turn up to their duty. I have spread everyone as far as I could with 1 duty still to cover. Please don’t let the centre down and more importantly our kids. If you fail to do your allocated duty you risk your child being Disqualified from Region, Loss of Parent Points and missing out on State Relays.

For everyone competing in the State Combined event on the weekend please note the following:
- Allow at least 1 hr to arrive at Lakeside Stadium, Albert Park. If you park in the car park there is a fee. If you park on Albert Rd you should find some all-day free parking.
- You will need to be there at least 1hr before your first event.

- Make sure you have enough water and sunscreen. The canteen should be open throughout the day.
- On arrival please see Paul Freestone or Mark Sullivan (0423577536). We will be located on the back straight near the 300m start. Please sit with us so we can make sure your children are at each event. This will create a team environment and atmosphere for all our Athletes.

- As this event is capped only parents of the athletes are able to attend.
- A parent duty roster has been put together. It is very important that we fulfill this as the event cannot go on unless we have all duties filled. Please see attached Saturday and Sunday roster.

2020 has undoubtedly been challenging for us all. We have all experienced this differently on a personal level and dealt with it in our own way.
Lockdown was harder on some, whilst for others emerging from lockdown felt overwhelming. Yet through it all the human spirit battled and kept going. It’s that human spirit that has kept us doing the things we love and look forward to each day and not be defeated. Coming back to Little Athletics is just one small but important step in feeling normal again.
Over the past few weeks, there have been many anxious and stressful moments, trying to get the season all backup and running with all the new rules and regulations. Mistakes were made as we tried different things, but now, as we head into our last week before the Christmas break, it’s a good time to reflect on the fantastic job we have all done to get to this point and all the positive things in the past 2 months, in particular, not just getting the Little Athletics season going at Cranbourne but in our lives as a whole.
Things aren’t quite back to normal, but no with active cases in Victoria and an athletics season we didn’t think was possible a few months ago, it is definitely a great feeling!
So, on that note, let’s keep that feeling going as we head into the Christmas break and on the track. The Committee is truly grateful for all the help given over the past few weeks and let’s continue the positivity and keep showing our kindness to one another. It’s what differentiates us, and embodies our values of being a fun, family orientated, and inclusive Little Athletics club.

Week one is now officially completed. The committee worked hard to ensure we were set up safely, ready for the challenges and the athletes could still have fun. The General committee met on Tuesday night and discussed what worked well and areas we need to improve as a club in order for us to meet our COVID obligations and some updates have been made. Whilst these may change again depending on LAVIC and Govt. announcements, changes for this Saturday include;
Unfortunately we are unable to run the event without the required number of COVID Officers. We require COVID Officers in designated areas whose role is to primarily make sure the area isn’t congested, spot and equipment sanitisation is happening and in the case of entry gate- ensure everyone is signing in either manually with the QR code.

We have bright coloured Covid Officer vests on order which will make the officers easily identifiable. In the meantime until the order arrives we will use plain bright yellow vests to identify these roles.
We have had to change the system how we serve, however the lack of help in the canteen especially ,as it is always left to a few people stuck in there all morning. Every bit helps and we try to break the shift times so we can all see our children. Whilst the canteen is our only ongoing revenue source for our club, we do not want to be in a position where we have to close the canteen due to lack of volunteers.

It is ENTRY ONLY at the usual main gate.
It is EXIT ONLY at Gate 2. Gate 2 is where the 200 meters would normally start. This will be highlighted more clearly from this week onwards. It a little further walk, however it is a requirement for us to have two separate points
There will be much more signage around the track to helping to guide and direct you around the track, entry/exit points
The registrations area/uniform as well as the canteen areas is one way only with a limited number of people allowed in the area.
Along the fence in front of the grandstand is a pathway. Please limit your time there so that people may pass and traffic can flow easily. You will be ask to move if you are spending too much time there.
As the weather warms up and to help with traffic congestion, the grandstand is a great place to watch. Just a reminder to stay within your family groups and distance yourself from others.
Whilst we ask that all of our members wear a mask, we understand that some people have medical reason not to wear a mask. some people may be more susceptible than others and are concerned for their own health. Please be mindful of others around you and move to an area all of us are comfortable with and can still enjoy the athletics. If you require a mask, we sell them with the Cranbourne logo for $10 in the uniform shop.
We welcome all new families who have joined us this season – amongst all of the changes due to Covid-19 we still want to highly prioritise welcoming you and your family and helping you orientate and settle into our club.
